ETD Submission Overview

Once you have successfully defended your dissertation you are ready to begin the ETD process:

  • Register. Enter contact information at http://dl.lib.brown.edu/etd in order to be entered in the system. You must have a Brown Username and Password in order to register. You may edit this contact information at any time.


  • Information About Your Dissertation -- title, abstract, pagination, keywords, advisor(s). This information will be used to catalog your dissertation.


  • Manuscript Preparation. See the Graduate School's Dissertation Guidelines in order to properly format your dissertation. The same guidelines apply to the electronic version of your dissertation.

  • Conversion to PDF. Your electronic dissertation should be a single PDF file. See Workshops & Tutorials for information on software, online help, and training sessions.


  • Upload & Submit PDF. You will have an opportunity to view your uploaded file before you submit it to the Graduate School. If there is a problem with the PDF you can delete it and try again. You will receive an email confirmation from the Graduate School when you submit your dissertation. If there are formatting or other problems you will be given an opportunity to resubmit a revised PDF.


  • Signature, Title, Abstract Pages. These documents must be delivered to the Graduate School:

  • ProQuest Paperwork. Obtain a copy of ProQuest's Doctoral Dissertation publishing packet at the Graduate School, or by request from ProQuest. ProQuest maintains the Digital Dissertations database, which is accessible to subscribing institutions worldwide. You are strongly advised to file your dissertation with ProQuest so that it will be published in Dissertation Abstracts International through ProQuest (formerly University Microfilms) and permanently archived.

    The Library will submit your dissertation in digital format to ProQuest but you must submit the following paperwork:

    • ProQuest Publishing Agreement Form
    • Optional copyright registration section ($65 fee)
    • Optional hardbound thesis or dissertation order form
    • Copies of any permissions you received to use previously copyrighted materials within the body of your dissertation

    Bring all completed paperwork to the Graduate School.

  • Surveys. Please download, complete, and deliver these surveys to the Graduate School:
  • Receipts. Please deliver these receipts indicating payment of fees to the Graduate School:
    • A receipt from the Cashier's Office indicating that the $50 dissertation fee has been paid (this fee helps pay for indexing, and archival storage of the dissertation).
    • A receipt (white) from the Bursar indicating that all outstanding debts have been paid.

  • Publication. You will be notified by email once your ETD is approved. Your digital dissertation will be available from Josiah, the library catalog, from Brown's digital repository, from the Networked Digital Library of Theses and Dissertations (NDLTD)and from the ProQuest Dissertations and Theses database. Your dissertation may also appear at Amazon.com, which distributes current and most recent prior year's dissertations in partnership with Proquest.     A permanent URL will be available for your resume.
